By registering for, exhibiting at, sponsoring, attending, or otherwise participating in CSAI Expo DXB 2026 (the "Event"), you ("Participant", "Attendee", "Exhibitor", "Sponsor", as applicable) agree to be bound by these Terms & Conditions. If you do not agree with these terms, do not proceed with participation.

1. Definitions

Participant: any individual or entity participating in the Event, including Attendees, Exhibitors, Sponsors, Vendors.

Attendee: a Participant attending in a non-exhibiting capacity.

Exhibitor: a Participant that occupies exhibition space or booth to display products, services or materials.

Sponsor: a Participant providing financial or other support in return for promotional privileges.

Event: CSAI Expo DXB 2026, held January 15-17, 2026 in Dubai, United Arab Emirates.

Venue: the physical premises where the Event takes place.

Fees: registration, exhibition, sponsorship, and other payments required for participation.

2. Registration & Admission

  • Registration is required to attend or exhibit at the Event.
  • All information submitted in registration must be accurate, complete, and up to date.
  • Registrations are non-transferable between individuals unless explicitly approved in writing by the Organiser.
  • The Organiser reserves the right to refuse any registration or participation at its discretion.

3. Payment, Cancellation & Refunds

  • All Fees are to be paid at the time of registration, in the currency as specified by the Organiser.
  • Early bird pricing will apply until September 30, 2026.
  • Group discounts may apply for multiple participants, as specified in registration terms.

Cancellation by Participant must be communicated in writing. Refunds (if any) will be subject to the following schedule:

  • Cancelled more than 60 days before the Event: full refund minus any non-refundable processing fee.
  • Cancelled 30-59 days before the Event: 75% refund.
  • Cancelled 15-29 days before the Event: 50% refund.
  • Cancelled less than 15 days before the Event: no refund.
  • Participants who do not attend ("no-shows") are not entitled to a refund.

4. Changes to the Event

  • The Organiser reserves the right to modify the Event schedule, speakers, or content.
  • The Organiser may change the Event format (in-person, virtual, or hybrid).
  • The Organiser may cancel the Event due to circumstances beyond its control.

If such changes or cancellations occur, the Organiser will notify Participants as soon as reasonably possible. Options for refund, credit or other remedy will be determined by the Organiser in its sole discretion.

5. Conduct, Venue & Local Laws

  • Participants must conduct themselves in a professional, respectful manner. Harassment, discriminatory behavior, or misconduct is not permitted.
  • Participants must comply with all venue rules, safety, fire, health, environmental regulations, and with the laws of Dubai and the UAE.
  • Exhibitors must ensure that their booth setup, equipment, displays, electrical connections, signage etc. comply with all applicable safety standards.

6. Liability & Risk

Participation in the Event is at your own risk. The Organiser, its officers, employees, agents are not liable for personal injury, loss, damage, theft or other harm, whether to property or persons, arising from participation in the Event.

To the maximum extent permitted by law, the Organiser's liability is limited to the fees paid by the Participant. The Organiser is not liable for indirect, special, incidental or consequential losses or damages.

7. Intellectual Property & Recording

All Event content (including presentations, workshops, materials) is protected by copyright. Unauthorized reproduction, distribution, or recording is prohibited unless explicit permission is granted.

By participating, you grant the Organiser a perpetual, royalty-free license to use your name, likeness, image, voice, presentation materials (if any provided) for purposes of promotion, publicity, marketing, or archival use of the Event, unless you notify the Organiser in writing prior to the Event objecting to such use.

8. Data Privacy

  • The Organiser collects personal data of Participants (names, contact information, company affiliation, etc.) for Event management, communications, safety and promotions.
  • The Organiser will handle personal data in compliance with applicable UAE laws on data protection.
  • Participants have the right to request access, correction, deletion of their personal data; and to withdraw consent for some uses.

9. Exhibitors, Shipping, Customs & Permits

  • Exhibitors are responsible for obtaining all permits, licenses, customs clearances, visas, import/export authorizations or any approvals required to bring in goods, equipment or materials for their exhibits.
  • All duties, taxes, shipping, handling costs, and risks associated with transport and customs clearance are the responsibility of the Exhibitor.

10. Prohibited Items & Activities

  • Prohibited items include hazardous materials, goods banned or restricted under UAE or international law, weapons, illicit substances, counterfeit items, or any items that could pose safety or regulatory issues.
  • Activities that infringe intellectual property rights, violate laws, or negatively impact the Event, other Participants, or venue are prohibited.

11. Force Majeure

The Organiser is not responsible for any failure to perform obligations or delays caused by events beyond its reasonable control, including natural disasters, pandemics, governmental actions, war, civil unrest, strikes, or other unforeseeable events.

In such cases, the Organiser may postpone, cancel or modify the Event. The refund or credit policy in these circumstances shall be as determined by the Organiser.

12. Indemnification

You agree to indemnify and hold the Organiser, its officers, employees, agents harmless from any claims, losses, liabilities, damages, costs or expenses (including legal fees) arising from your negligence, misconduct, breach of these Terms, or violation of any law or third-party rights in connection with your participation.

13. Dispute Resolution & Governing Law

  • These Terms are governed by the laws of the United Arab Emirates.
  • Any dispute, claim or controversy arising from or relating to the Event or these Terms shall first be attempted to be resolved amicably.
  • If unresolved, the dispute shall be submitted to courts in Dubai, UAE, or other dispute resolution mechanism as may be mutually agreed.

14. Severability

If any provision of these Terms is found to be invalid, illegal or unenforceable, that provision shall be modified or severed to the minimum extent necessary, and the remaining provisions shall continue in full force.

15. Amendment of Terms

  • The Organiser may amend or update these Terms at any time.
  • Amended Terms will take effect from the date specified in the update. Participants will be bound by the version of the Terms in force at the time of their registration / participation.

16. Entire Agreement

These Terms, together with any registration, exhibitor or sponsorship agreements and fee schedules, constitute the full agreement between you and the Organiser in respect of the Event and supersede any prior agreements or understandings.
